Researching and shortlisting through a range of wedding suppliers is probably one of the most time-consuming tasks when it comes to planning a wedding. From the initial research phase, to checking out their portfolios on their website and social media profiles, then deciding who makes your shortlist really is a big task. So, we’ve put together our top 7 questions to ask your wedding suppliers so that when you’re at that process of elimination, you’ve got all the ‘must know’ information to help you make the best selections. Of course, you would need to tailor the questions to each wedding supplier, as you may or may not already have the answers to some of these questions. However, ensuring your prepared with these essential questions will ensure you’ve covered all bases. So, without further ado…

 

Are you available on our wedding day?

The most obvious question, yet you won’t believe how many couples get carried away without knowing this vital piece of information. It will save you a lot of time (and heartache!) and ensure both you and the supplier are working from the same page from the very beginning.

It’s always a good idea to meet face to face, especially with your main suppliers, as you get to meet the person behind the business, but I also find that there’s only so much you can achieve with email alone. After a consultation, you should have a better idea as to whether this is a supplier you want to work with, whether they’re a good fit for your wedding plans, and if you haven’t yet received a proposal from them this would be the perfect time.

 

Do your prices include VAT?

We’ve all been there…we receive a quote and all of a sudden the original quoted fee is much higher than we assumed. This is because the supplier has added on VAT! For a small purchase this may not make that much of a difference from the final fee quoted, but in the world of weddings it’s likely to be a significant amount, especially when you’re working within a strict budget. So don’t forget this important question and check any proposals and invoices before signing.

 

Will we be required to pay a deposit and what are your payment terms?

With many suppliers, including wedding planners like myself, you’ll usually have to pay a deposit to secure their services. With regards to payment terms some ask for a certain amount of their fee upfront with the rest being paid closer to the date of the event. Some may offer installment payments, which could offer you flexibility. It’s really important that you find out what their deposit and payment terms are as this really impacts on how you manage your wedding budget going forward. Think about it, they won’t be the only supplier you’d be paying so you’ll need to know whether your budget will work within their terms.

 

Are there any other additional fees?

Always bear in mind that you may have to pay for the travel and accommodation costs for suppliers, especially if they are travelling from afar and expected to work later than usual. Other additional fees could include the hire cost of a cake stand provided by the cake designer, or damage deposits for other hire items. Finding out whether there will be any additional fees will again, help you manage your budget and won’t leave you worried about where you’re going to find the money to cover them.

 

How do you plan for the ‘just in case’?

You’ll want to know what your suppliers plan B is especially in the case of illness, accidents, etc. It’s a always a good sign when your supplier can reassure you and show that they’ve thought about any mishaps before they have happened.

           

Can we see a copy of your insurance?

You’re most likely going to want to know whether your suppliers have insurance. Whether it be public liability or employer’s liability, always ask to see a copy for your peace of mind. A trustworthy and honest supplier will never shy away from showing you theirs. We all like to think that the worst will never happen to us, especially for such a special occasion, but things happen! Just like ensuring your supplier has a plan B for the just in case eventualities, you also want to make sure that they are covered for any services they provide to you.
